Currently, we are seeking for Account & Operations Coordinator to be based in Johannesburg, South Africa. In this role, the successful candidate is responsible for coordinating all account operational requirements for the Customer and managing the customs queries raised by the customer in a timely manner.

IN THIS JOB YOU WILL:

  • Formulate solutions for customer queries or requests while taking into consideration DHL capabilities, processes and standards.
  • Support and manage projects both internal {to increase efficiency & productivity} as well as project by the customer.
  • Manage audits and support their successful implementation.
  • Coordinate processes, tasks, with local teams, origins and control tower.
  • Coordinate with other departments like Finance and sales to optimally manage the account.
  • Prepare and realize planned sales calls. Report activities, quotes, sales calls and other information through customer database system i.e. ISell.
  • Manage customer queries and customer business, maintain a high degree of understanding of the customer business, requirements, requests as well as systems.
  • Support local Team to manage and solve queries in a timely manner, while observing key customer process requirements and maintaining DHL customer service standards.
  • KPIs & SLA management, being that these are critical issues for the customer, monitoring and supporting the teams to achieve these will be extremely important.
  • Customs & CDZ, to coordinate with the CDZ team, Customs, SARS and regulatory requirements that are imposed due to customer requests and process changes.
  • Commercial management & rates, managing and coordinating with the Regional Customer Solutions and Innovation manager for the customer to maintain and grow business volumes and lanes for the customer.
  • Manage claims, damages and work with the various teams and processes involved to resolve and settle claims. Cost reduction or elimination of claims is key while constantly improving processes with various teams involved.
  • Manage audits and support their successful implementation from customer and other parties or regulatory bodies that request for audits into the account and its operations.
  • Formulate solutions for customer queries or requests while taking into consideration DHL capabilities, processes and standards.
  • Maintain systems knowledge of all customer systems and DHL systems and support their successful implementation internally while working with IT and other teams.
  • Liaising with overseas stations / origins and Control Tower as well as the Global Teams on the account.
  • Manage the clients requirements outlined on customer SOP and DHL GF Standard Work Manuals as well as maintain updated SOPs and manuals for both the Customer and internal DHL related SOPs.
  • Attend the different customer required calls, performance reviews, project calls and updates.

Job Advert Summary:-

Role Profile:

To provide support with the deployment and maintenance of the Purchase to Payment applications used within DHL known as GeT and Basware. This person will be responsible for ensuring that valid supplier invoices are authorized and accurately processed, allocated and appropriately accrued for in Basware. This person will also provide support to the Ostrava team and Procurement Specialist in ensuring compliance with the Local PTP Process Guideline document, PTP and Procurement Policies and CRISP requirements.

Key Responsibilities:

  • To assist with the maintenance of Basware Alusta system and ensure that the Basware approval matrix is in line with the ZA DOAG.
  • Responsible for ensuring that valid supplier invoices are authorized in line with DOAG and accurately processed, allocated and appropriately accrued for in Basware Alusta.
  • Responsible for supporting Ostrava Team in all invoicing, reconciliation and supplier queries and any other adhoc requests.
  • Provide monthly spend reporting and analysis on invoicing and accruals by division from Basware Alusta to the SMT.
  • Ensure that invoicing is billed as per contracts and any discrepancies investigated timeously.
  • Monitoring and reporting on the creditor’s age analysis to ensure suppliers are paid in line with agreed payment terms.
  • Perform monthly supplier reconciliations for high risk and top spend suppliers to ensure there are no long outstanding payments. Invoice and payment issues to be investigated and resolved timeously.
  • Responsible for processing OTV customer refunds in SAP for timeous payment by the SSC. Any discrepancies investigated timeously.
  • Ensure monthly petty cash reimbursements and documentation is complete, authorised in line with Petty Cash Policy and correctly processed in the SAP and payment system.
  • Ensure monthly Petty Cash Reconciliation and any reconciling items resolved timeously.
  • Responsible for supporting the Procurement Specialist wherever necessary.
  • CRISP support.
  • Provide assistance for any other adhoc duties.
  • Monitor internal compliance and report incidents to the relevant authority.
  • Ensure continued compliance with local company policies.
  • Co-ordinate and manage resources to meet objectives of the department and customer expectations.
  • Resolving supplier queries and invoice entry misallocations.

Experience Required:

  • Experience using and supporting the local GeT team
  • Excellent knowledge of DHL and the express industry.
